Trailgrazer

Trailgrazer is operated by Trailgrazer LLC (“Trailgrazer,” “we,” “us”). For any question about these Terms, or to make a request about your information or an exhibitor you manage, email info@trailgrazer.com. You don't need a Trailgrazer account to contact us. Questions about a specific show โ its rules, entries, results, or what appears in its program โ are best sent to that show's organizer.
These Terms of Service (“Terms”) govern your use of Trailgrazer โ the website and our mobile apps. When you create an account you tick a box confirming that you are 18 or older and that you agree to these Terms and to our Privacy Policy, which explains what information we collect, who can see it, and which outside services receive it. We record which version of these Terms you agreed to and when. Using Trailgrazer also means you accept them.
If you use Trailgrazer for someone else โ an exhibitor you manage, a club, or a show organization โ you agree to these Terms for them too, and you confirm you have the authority to do that. If you don't agree, please don't use Trailgrazer.
An exhibitor account manager is the adult who creates an exhibitor account and adds the exhibitors โ the individual competitors โ who show under it. When you add or edit an exhibitor, you:
Sharing with a show is a separate choice, made per exhibitor and per show. Before you first register an exhibitor for a show, we ask you to agree to share that exhibitor's information with that show and its organizers. Each exhibitor is asked about separately, so agreeing for one child never shares their brothers or sisters. We record each agreement with the date and time it was given and the version of these Terms in effect. Until you agree, the show's organizers cannot find that exhibitor or enter them in the show.
You are responsible for everything done through your account for the exhibitors you manage โ their show entries, sale declarations, and the documents you upload. If you stop being an exhibitor's parent or guardian, or an adult exhibitor withdraws their permission, remove that exhibitor from your account or tell us.
As the account manager โ and, for a minor, as their parent or guardian โ you can:
What deleting an exhibitor does: their entries in shows whose registration is still open are withdrawn; their profile, uploaded documents, notifications, and per-show sharing agreements are deleted; and their animals are deleted unless a show's records still refer to them. A show whose registration has closed, or that has already recorded results or sale records for them, keeps those records โ entries, placings, and sale records โ under an anonymous label (“Former exhibitor”), with their name, contact details, and date of birth removed. We keep a record that consent was given (account usernames, the Terms version, and the time only). Copies a show has already printed or exported are in the organizer's hands (see section 7).
Livestock shows are public events, and their results are a public record. By entering an exhibitor in a show, you agree that the following information about that exhibitor may be made publicly available by the show's organizer:
This information appears in ordinary show materials: printed show programs, posted class and championship results, live show timelines and schedules, weigh-in cards, sale orders, and other sale-day materials. Weigh-in cards also show the name of the exhibitor's account manager. Organizers may print, post, and share these, and may announce results in the ways shows traditionally do โ over the loudspeaker, on a results board, in a newsletter or newspaper, or online.
Trailgrazer itself does not publish exhibitor information on the open internet. Its pages that list exhibitors are shown only to signed-in users: the organizers of that show, and you for your own exhibitors. Organizers can look up only exhibitors whose account manager has agreed to share them with that show. If we ever add a public results or schedule page, we will ask account managers to opt in for each exhibitor before their information appears on it.
We do not make an exhibitor's email address, mailing address, phone number, date of birth, or uploaded animal documents publicly available. Contact details and documents are visible to you and to the organizing team of each show the exhibitor has been shared with. Today, every member of a show's organizing team โ whatever permissions the organizer has given them โ can view and download entrants' contact details, ages, and graduating years in reports, and can view animal documents filed with that show. An exhibitor's date of birth is never shown to organizers: Trailgrazer uses it to work out the exhibitor's age, and organizers see only the age. Organizers use this information to check eligibility, contact families, and keep the records their show is required to keep, and they agree to keep it confidential (see section 7).
Trailgrazer uses artificial-intelligence services, run by outside providers, for some organizer features. Today, no exhibitor records are sent to any AI service.
The only AI feature in Trailgrazer today is the organizer's report assistant. When an organizer describes a report in plain English, that question and the list of report columns (their names and descriptions) are sent to Anthropic's Claude service, which replies with the report's settings. No exhibitor records are sent โ no names, contact details, animals, entries, results, or sale records. The report itself runs on our servers. If an organizer types a person's name into a question, that name is part of what Anthropic receives.
AI output can be wrong. The report assistant's draft is loaded into the report builder so the organizer can see exactly what will run. Organizers are responsible for checking AI-assisted results before relying on or sharing them.
Each show on Trailgrazer is run by its organizer โ a fair board, club, or other show organization โ not by Trailgrazer. The organizer sets the show's rules, eligibility requirements, deadlines, fees, and schedule; records weigh-ins, vet and brand checks, and results; and runs the sale. Questions about a show's rules, entries, results, or sale should go to its organizer. Trailgrazer does not judge shows, verify that entries are eligible, or guarantee any result.
Organizers are responsible for the information they take out of Trailgrazer. Once an organizer views, prints, downloads, or publishes information, they decide what happens to that copy and are responsible for it under the laws that apply to them โ including any notices, retention rules, and requests about the records they keep. A fair board that is a public body may also have public-records obligations.
If you organize a show, you agree to:
Sale-day features record lots, bidder numbers, sale prices, buyers, floor prices, and add-on donations (“boosts”). When a show collects auction payments online, each payment is a charge made by the show's organizer through Stripe: the organizer is the seller, the money goes to the organizer's Stripe account, and Trailgrazer never holds it. Trailgrazer receives a fee from each online payment, shown to the organizer on the Payouts page before they connect payments; a fee may also apply to boosts, as shown there. Card details are entered on Stripe's own page and never pass through Trailgrazer. Stripe's own terms also apply to these payments, including the Stripe Connected Account Agreement for organizers.
Trailgrazer is not a party to any sale. Bids follow the show's sale rules, and purchases, refunds, disputes, floor prices, pickup, and delivery are between buyers, the show, and the exhibitor's family. Floor-price agreements are between the floor buyer and the show. As the seller, the organizer handles refunds and card disputes in Stripe and is responsible for chargebacks, Stripe's fees, and any taxes or tax reporting on the show's sales. A refund or dispute handled in Stripe may not be reflected in Trailgrazer's sale records. We don't promise that a purchase or boost is tax-deductible. We'll tell organizers before we change our fee.
For buyers and packers: when you create a buyer account you agree that your name, email, phone, and mailing address may be shared with the organizers of shows where you register as a bidder, buy, or are enrolled as a floor buyer; a packer agrees the same for their contact details with shows that send animals to them. A sale can name a buyer account only if that buyer holds a bidder card at that show or is its floor buyer. Organizers with auction access can also find a buyer account by name, email, or phone to add that buyer as a show's floor buyer.
We send emails needed to run your account and your shows โ email verification codes, password resets, invitations an organizer asks us to send, floor-buyer offers, and auction payment links sent on a show's behalf. These are part of the service and can't be turned off while your account is open. We don't send marketing email.
You keep ownership of the information and files you add to Trailgrazer. You give us permission to store, display, and process them to run Trailgrazer โ and to make them available to the organizers of the shows they are filed with, to our service providers, and otherwise as these Terms and the Privacy Policy describe. That permission continues for copies kept as part of a show's records and for a limited time in backups.
Only upload documents you have the right to share โ health certificates, brand inspections, registration papers, and similar animal paperwork โ and remember that the organizers of the show you upload them to can see them. Please don't upload driver's licenses, Social Security numbers, bank or card numbers, or anyone's medical records. We may remove content that breaks these Terms.
Please don't:
You can delete your exhibitor or organizer account at any time from your account settings. Deleting an exhibitor account deletes every exhibitor you manage exactly as described in section 4, plus your own login, notifications, and record of agreeing to these Terms; deleting an organizer account also deletes that organizer's shows. Buyer and packer accounts don't have a settings page yet โ email us and we'll take care of it.
Records a show is required to keep โ entries, placings, and sale records โ stay with that show under an anonymous label, as section 4 explains. If you want something removed that we haven't, email info@trailgrazer.com. Copies may remain in our backups for a limited time before they are overwritten.
We may suspend or remove an account that breaks these Terms or puts other people, their information, or Trailgrazer at risk.
If you send us a suggestion through the Send feedback button or by email, we may use it to improve Trailgrazer without owing you anything for it.
Trailgrazer is provided “as is” and “as available,” without warranties of any kind, to the extent the law allows. We work hard to keep it available and accurate, but we can't promise it will always be available or free of errors. Keep your own copy of anything your show must have โ print the program and results you need.
To the extent the law allows, Trailgrazer is not responsible for a show's decisions, results, or sales, for what organizers, buyers, or other users do, or for indirect or consequential losses, and our total responsibility for any claim is limited to the greater of the amount you paid Trailgrazer in the 12 months before it or $100. Nothing in these Terms limits liability that the law does not allow to be limited, such as for gross negligence or willful misconduct.
If someone makes a claim against Trailgrazer because of information or files you added, your misuse of Trailgrazer or of information you got from it, or โ if you are an organizer โ your show's rules, publications, sales, or handling of entrants' information, you agree to cover Trailgrazer's reasonable losses and costs from that claim, to the extent the law allows.
These Terms are governed by the laws of the State of Utah, without regard to its conflict-of-law rules. If you have a concern, please email us first so we can try to resolve it informally; if it isn't resolved within 30 days, either of us may bring a claim. Claims must be brought in the state or federal courts located in Utah, and you and we agree to those courts' jurisdiction โ except that either of us may bring a qualifying claim in small-claims court where you live. Consumer-protection laws of the state where you live may still apply to you.
If we change these Terms we'll update the date at the top of this page. When we make a significant change, the next time you sign in we'll show you the updated Terms and ask you to agree again before you continue, and we record which version you agreed to. If a change would publish or share exhibitor information in a way these Terms don't already describe, or change how children's information is used, account managers' new agreement is required before it applies to their exhibitors.
Email info@trailgrazer.com โ no account needed. If you're signed in, you can also use the Send feedback button at the bottom of any page. For questions about a specific show, such as its rules, entries, results, or what appears in its program, contact that show's organizer directly.
